We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or contacting us, you agree to the handling of your information as described here.

“Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

2. Personal information we collect

We only collect personal information that is reasonably necessary for our business. Depending on how you deal with us, this may include:

  • Contact form details: your name, email address, phone number, preferred contact method, and anything you include in your message.
  • Business details: your company name, job title, site location and details about your water treatment requirements, where you provide them.
  • Client and supplier records: information needed to quote, deliver services, invoice and manage our account with you.
  • Website usage information: technical data such as your IP address, browser type, device and pages visited, collected automatically (see section 6).

We do not intend to collect sensitive information (such as health or racial information) through our website. Please do not include it in a form submission.

You can contact us anonymously or under a pseudonym for general enquiries. However, we will usually need your name and contact details to provide a quote or service.

3. How we collect personal information

We collect personal information directly from you when you:

  • submit the contact form on our website;
  • email us, call us or visit our office;
  • request a quote, engage our services or buy products from us;
  • deal with us as a supplier, contractor or job applicant.

We may also collect information from third parties, such as your employer, our business partners, or publicly available sources (for example, company websites or LinkedIn). If we receive personal information we did not ask for and do not need, we will destroy or de-identify it where lawful and reasonable.

4. Why we collect and use personal information

We use personal information to:

  • respond to your enquiry and contact you by your preferred method;
  • prepare quotes and proposals;
  • deliver our water treatment services, chemicals, parts and consumables;
  • manage accounts, invoicing and payments;
  • meet our legal, safety and regulatory obligations;
  • maintain, secure and improve our website and services;
  • send you information about our services, where you have agreed or would reasonably expect it (see section 8).

We will not use your information for an unrelated purpose unless you consent or the law allows it.

5. Disclosure to third parties

We do not sell, rent or trade your personal information. We may share it with:

  • our staff and contractors who need it to do their work;
  • service providers that support our business, such as website hosting, email, IT, accounting and laboratory testing providers;
  • professional advisers, such as lawyers, accountants and insurers;
  • government agencies or regulators where required or authorised by law.

We require these parties to handle your information securely and only for the purpose we provided it.

Overseas disclosure: Some of our service providers (for example, cloud email or hosting providers) may store data on servers outside Australia, including in the United States. Where this happens, we take reasonable steps to ensure the information is protected in a way consistent with the APPs.

6. Cookies, analytics and third-party services

Our website uses cookies and similar technologies to function properly and to understand how it is used. Cookies are small files stored on your device.

Our website also uses third-party services that may collect technical information, including:

  • Google Maps — an embedded map on our Contact page;
  • Google Fonts — to display text on the site;
  • [Google Analytics / other analytics tool, if used] — to measure website traffic in aggregate.

These providers handle data under their own privacy policies, such as the Google Privacy Policy. You can block or delete cookies through your browser settings, although some parts of the site may not work as intended.

7. Storage and security

We store personal information electronically (for example, in our email system, website database and business software) and occasionally in paper files at our office. Contact form submissions are sent to us by email and may also be stored in our website’s database.

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, including password-protected systems, access limited to people who need it, and secure (HTTPS) website connections.

No method of transmission over the internet is completely secure. When we no longer need personal information, and are not required by law to keep it, we take reasonable steps to destroy or de-identify it.

8. Marketing communications

We may occasionally send you information about our services where you have consented or would reasonably expect it, for example as an existing client. We comply with the Spam Act 2003 (Cth).

Every marketing email will include a way to unsubscribe. You can also opt out at any time by contacting us using the details in section 10.

9. Access, correction and complaints

You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete. We will respond within a reasonable time, usually 30 days. We may need to verify your identity first. If we refuse a request, we will tell you why, unless the law prevents it.

If you believe we have breached your privacy, please contact us in writing using the details in section 10. We will acknowledge your complaint promptly and aim to resolve it within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
